Tip of the Week – Set Search Pre-Selects in Matrix

With the recent expansion of six Iowa Associations joining the NorthstarMLS Common Data Platform (CDP), searches on City names that exist in both Minnesota and Iowa may return listing results from both states – exampleFarmington, MN & Farmington, IA.

If you'd like to set your starting default State to MN so that you do NOT get duplicate cities from Iowa, go to the Matrix Search screen, select “Minnesota” in the State field, and then click the gear icon (upper right below the Results tab) and click the text "Set currently selected search criteria as my starting default." This will set it as your starting default search state. (You can also add any other criteria that you want pre-selected anytime you start a search.)

Tip of the Week for 8/18 Construction Types Did you know that you can search for or exclude specific construction types? This is particularly helpful for finding new construction or opportunities to build from scratch. The Construction Type field is available on the Detail search, or you can add it to the General search. Below are definitions for each value. Even if you don’t search on this field, it’s helpful to check it on listings for which your clients are interested. You don’t want to waste time trying to schedule a showing on a To-Be-Built!
  • Previously Owned: The residence is currently or was previously occupied as a dwelling.
  • Completed New Construction: The residence is ready for occupation but has not yet been occupied.
  • Under Construction/Spec Home: Construction on the residence has begun but is not yet completed.
  • To-Be-Built/Floor Plan: A drawing or blueprint of a residence that may be purchased and constructed.
  • Model: A residence constructed as part of a sales campaign to demonstrate design, structure and appearance of a development.

Extra Room Type Field


Did you know that you can search NorthstarMLS Matrix for properties that have Extra Rooms, such as a den, office, bar, game room, porch and many more? You just need to add the proper ‘Additional Field’ to your search screen.

Tip of the Week
Using ‘wildcards’ to widen or narrow search results

To maximize system speed, NorthstarMLS Matrix searches for the exact criteria that you provide. To widen or narrow your search results, use the simple “wildcard” search operators listed below in text-entry criteria fields such as Street Name, Price, Bedrooms, Total Baths, Total FinSqFt, Acres, List Date, Year Built, Garage Stalls, Lake Name, etc.

  • Use the asterisk (*) as a wildcard, or substitute for any portion of the name of which you are unsure.
  • Use then exclamation mark (!) before or after text entered within the search to indicate exclusion. It can be used separately, or in combination with the wildcard (the asterisk).
  • Use a comma (,) to separate multiple items in a list.
  • Use an exact number, the minus sign (-) or the plus sign (+) for number fields that accept ranges.

Find Lots Located ‘On Golf Course’


There are plenty of gorgeous golf courses scattered throughout the MLS territory and currently there are nearly 300 active listings on NorthstarMLS which are described as, “On Golf Course.” If you have a client who wants to be on or near a golf course, you can identify these properties and include the information in the next report you send them.

First, using the Add/Remove widget in the Additional Fields box, add the “Lot Description” field. Once you’ve added it, scroll down until you find the “On Golf Course” option and select it, as seen in the screen shot below.


If a listing is on or near a golf course, that information is going to be found in the General Property Information section of the property report. You can (and should) also include property information relating to golf courses of your listing in the Public Remarks field.

Twin Homes

Did you know that you can find Twin Homes when searching Style field? The Twin Home (TW) option is located between the Townhouse (TH) and Condo/Coops (CC) option when scrolling through the Style box. Highlight it by clicking on the name, or by checking the check box – as seen below in the screen shot.

 

What is a Twin Home by definition?
A common confusion is listing a Twin Home as a townhouse. Twin Homes can often look like a townhouse or duplex and do have a shared common wall with your neighbor, but the main difference is ownership. A twin home has an individual owner who has rights and responsibilities for their own side and lot.

NorthstarMLS defines a Twin Home as, zero lot line ownership, double side by side. May have a home owner association. Common wall agreement necessary as part of purchase agreement. Duplex.net says, twin homes are half-homes with a lot line landing between the two homes. In most cases, the homeowner can renovate or repair their half of the twin home however they wish, or there may be some basic restrictions in the deed.

Currently, there are over 250 active Twin Homes listed on the MLS. Consider one for your client the next time you run a search.

UPDATE:  The following MLS field changes are now available on Matrix, Add/Edit and Instanet Forms:

Parking Description Changes: At the recommendation of a task force of agents who work regularly with condos, we have made the following changes:
  • Parking Characteristics—“Fee” replaced with three options: More Parking Onsite for Fee, More Parking Offsite for Fee and Valet Parking for Fee. If you have an existing listing with the replaced “Fee” selected, it will still be there, however we recommend that you edit your Active and TNAS listings to select one of the new options. (All Property Types except Lots & Land)
  • Association Fee Includes—Two new options added: Parking Space and Valet Parking. (All Property Types except Multi-Family and Commercial) 
  • RULE REMINDER: If a garage stall is not included in the List Price or Association Fee, then you must enter a 0 in the Garage Stalls field, even if one is available for an additional cost.  Use the Parking Characteristics field to describe the fee options.
Exterior: The “Metal/Vinyl” selection has been split into two separate selections for Metal and Vinyl. Existing listings with “Metal/Vinyl” selected still have it. We suggest you edit your Active and TNAS listings to choose either Metal or Vinyl. (All Property Types except Lots & Land)
 
Multiple PIDs? (Yes/No): If you list a property with more than one PID number (such as more than one land parcel combined into one listing or a condo with a parking stall with it’s own PID), select “Yes” for this field to alert potential selling agents and their clients. (We suggest entering the additional PID numbers in one of the Remarks fields.) In Add/Edit, this required field is located right after the PID number and defaults to “No.” All existing listings have been auto-filled with “No.” If you have an existing Active or TNAS listing with multiple PIDs, you need to edit the listing to reflect that. (All Property Types)

Terms (seller will accept): Added an option for “Conventional Rehab.” This will also be added to the Existing Financing and Financing Terms of Sale fields in early June. (All Property Types)

Extra Room Selections: We added three new Extra Room selections: Bonus Room, Hearth Room and Walk-In Closet. (Single Family, Rentals and Multi-Family)

Special Search Options

Tip of the Week Submission Winner: Congratulations to this month’s winner, Jane Lynch of RE/MAX Specialists in Lilydale! She received a $30 Caribou Coffee Card for her tip submission of special search options. Here’s Jane’s tip:

When searching or setting up searches for a client looking for 3 BR on 1 Level — located in the “Special Search” box (as seen in the screen shot below) — be sure to include the Special Search option of 4 BR on 1 Level in the search as well. Adding that field can yield more results for your client.

In addition, make sure to use both options when listing 4 BR on 1 Level by checking both 3 and 4 BR on One Level in the check-box when adding a listing in Add/Edit (as seen below). If a listing has 4 BR on One level and 3 BR is not checked, other MLS users may miss seeing when running a search.

Adding Additional Search Fields: Terms (seller will accept)

Have you ever wanted to add a new field to your search that lets you search for properties that are FHA, DVA or Contract for Deed? When you’re in Matrix, click the “Search” tab to get to the Single-Family/Multi-Family screen. Then select the type — General, Detail or Address. At the bottom left of the page, you will see “Additional Fields” with the option to Add or Remove them. Click on the “Add/Remove” to view a list of “Available Fields.” (Note: You will not see the option to remove a field unless you have already added a new field.)

Now you’re on the “Frequently Used Fields” page (shown above). You have the option to choose from a large alphabetized list of fields, including: Terms (seller will accept). Highlight the “Terms” field and click the “Add” button to move it to “Selected Fields.” Once you’ve added the proper field, click “Back.”

You are now able to scroll through the Terms field, where you will find several different options.
