Don’t forget to Whitelist NorthstarMLS@matrixmailer.com

You and your clients may have previously whitelisted (i.e. add to your list of safe senders in your email program) postmaster@matrixemailer.com to ensure that any listings you email to clients via Matrix were successfully delivered.

Our system vendor has changed that sender email address to: NorthstarMLS@matrixmailer.com. This will make it easier for them to troubleshoot any issues in the future. Please ensure you and your clients whitelist this new address, particularly if your hear that your Matrix emails are not being received or are going into a SPAM folder.

Tip of the Week – Auto Emails with NorthstarMLS Mobile App

This tip is for the NorthstarMLS Mobile App (powered by Homespotter).


Did you know that you can access the auto-emails you create for your clients on the web in the NorthstarMLS app? Log into the NorthstarMLS app and select My Contacts. Scroll through your contacts to find the client whose auto email you’d like to view.

From there you’ll see options for their auto emails, any listings you’ve put in your cart associated with their name and any listings they’ve marked as favorites or possibilities. Select any of the options to see a map or list view of your clients listing details.

Tip of the Week – Auto Email Enhancements

A new feature in Auto Email Settings now lets you craft an initial Welcome Email message AND a new Recurring Email message for each Auto Email you have set up. The Welcome Email is sent with the first auto email, while subsequent auto emails will use the Recurring message.

When you set up a new Auto Email, you will see two new tabs for setting them up:


Instead of displaying an empty message box when creating a new auto email, Matrix now displays a predefined message text. (In prior versions of Matrix, this message box was blank, but the recipient would still receive the predefined message.) You can use that message or change it to one of your own.

Auto Email Reverse Prospect Check Box


If you’ve worked with a buyer, then you’ve likely set up an Auto Email through NorthstarMLS Matrix. But did you know about the Reverse Prospecting feature of Auto Emails?

It allows listing agents to see who may be interested in their sellers’ listings. Reverse prospecting gives listing agents contact information for the agents who have client Auto Emails with search criteria that match their listings. Only the buyer’s rep agent name and contact information (not the client’s) will be displayed as a Reverse Prospecting match. Maybe the property has an upcoming price reduction or recent remodeling that the list agent wants to share with you — it can be a great way to help find a match for your buyer.

Each time you set up an Auto Email, the “Make available for Reverse Prospecting” checkbox is checked by default. If you want to opt out of Reverse Prospecting for your Auto Emails, you must uncheck the box for each Auto Email you set up.

Please respect your fellow agents and use courtesy when you receive a Reverse Prospecting email that you’re opted into, as it’s not intended to be spam.

Auto Email ID/Result Count

If you have an active listing, go to My Matrix, My Listings and select a listing to use the Reverse Prospect feature. This shows you a list of auto emails being sent to prospective buyers, along with the name and contact information for the buyer’s agent. Here are some frequently asked questions about the Reverse Prospect feature:

How do I email all the agents on the list?
You can’t. We don’t allow mass emails from the NorthstarMLS system. However, if you want to email multiple agents, you can copy and past their email addresses into your email program.

What is the Auto Email ID?
It’s an internal number corresponding to the auto email in the MLS system.

What is the Result Count?
This shows how many total listings are in the auto email. For example, if the Result Count is 5, that means your listing is one of five properties in that search. If the Result Count is 185, that means your listing is one of 185 properties in that search. Because the smaller searches are targeting very specific kinds of properties, we list those at the top of the list. Less specific searches are further down. Generally, it makes more sense to contact the agents at the top of the list than those at the bottom.

Resend Auto Email Activation

Whenever you start a new Auto Email for someone, the first email includes a link to activate that search. If you have a client who did not enable their Auto Email, you can have a new initial email sent to them. Go to the My Matrix screen, and then Auto Emails. Click on the name of the Auto Email, and then on Settings tab (in red below).


Halfway down the page, select the “Disable” option, and click “Save” at the bottom. Then go back into the Settings, and re-enable the search. A new initial email will then go out to the recipient shortly there after.
