Are Your Clients Seeing “Coming Soon” Listings?

We introduced Coming Soon Listing Status this past November. This status in Matrix allows you to pre-market your listing through the MLS for a limited time until it is ready for showings.

If you send your clients Auto-Emails in NorthstarMLS Matrix, they will not receive Coming Soon listings in their Client Portal unless you select that Status in your search criteria. You might want to update any Auto-Emails you created before November if you want to include Coming Soon’s.

Some Stats
Since its release, over 600 listings entered in NorthstarMLS Matrix were listed as Coming Soon with an average length of seven days in the status before being moved to Active.

Email Consistency

  • Agent signature is displayed for reference below the message box with a link to edit the signature
  • In Direct Emails, the portal link has been moved above the agent signature, to match its location in Auto Emails

Tip of the Week: Resubscribe Clients to Matrix Emails

Have a client that has unsubscribed from the Matrix emails you send them? Whether is was intentional or not, clients can resubscribe/opt back in to your Matrix emails if they have unsubscribed for any reason.

If your client previously unsubscribed and wants to opt back into your Matrix emails, this is what needs to be done:

  1. Have the client send an email from their account to optin@northstarmls.com with the subject line and body of the email message left completely blank – not even an email signature.
  2. After 60-90 minutes (sometimes sooner), the client should receive an email stating that they have been resubscribed to your Matrix emails. Once they get that message, you can send direct emails to them again from Matrix, or reenable the client’s auto email.

Note: Due to a Yahoo email policy, Yahoo will not allow resubscription once the user has unsubscribed to Matrix emails. If your client unsubscribed using his/her Yahoo email address, they will either need to create a new Yahoo email address, or preferably, create another email address with a different email provider such as Gmail.

Tip of the Week — Client Pre-Approved Check Box & Categories

In today’s aggressive housing market, your buying clients will be one step ahead of the competition if they get pre-approved for a mortgage before they begin house hunting.

Don’t forget you can better organized with your clients in Matrix by checking the “Mortgage Pre-Approved” check box – this will indicate which of your clients are already pre-approved for a mortgage. Other NorthstarMLS users can also see if your client’s auto email is in their reverse prospecting list.

Additionally, you can sort your contacts by Categories — Buyer, Seller, Friend, Prospect or create your own Custom category. The video below shows you how to do both in just over two minutes!

Tip of the Week – Speed Bar Shortcut

Most of us have saved a search as a regular Saved Search or Auto Email. But have you ever saved one as a Speed Bar Shortcut? By saving a Speed Bar Shortcut, you can rerun a complex search or recreate a drawn map search area with just a few quick keystrokes. Let’s say you have a specific area you like to search with a map shape that does not correspond to a municipality, Zip code, or school district.

1. On the Map tab of a search, draw your shape (radius, rectangle or polygon).

2. Select any other parameters you frequently use, such as Active status or single family houses.

3. Select the Save button bar and then click the “New Speed Bar Shortcut” button.

4. In the “Speed Bar Shortcut” box, type in a name for your shortcut. You want to keep it as short as possible, because this is what you will type in each time you run the search. The system automatically places a forward slash “/” as the first character. This is required. For example, if you draw an area around Lake Como, you may want to name it /como.

5. Click the Save button.

Now anytime you want to start a search with the custom Lake Como area, all you need to do is type /como into the Speed Bar and hit the Enter key on my keyboard (or click the magnifying glass icon in the speedbar). You can do this from any screen within Matrix. The Speed Bar is located just below the tabs:

After executing the search, click the Criteria tab and enter any other criteria for your client. By creating this shortcut, you no longer have to redraw a custom area around Lake Como every time you want to search it. This works for any shortcut you want to create, not just map shapes.

Tip of the Week – Auto Emails with NorthstarMLS Mobile App

This tip is for the NorthstarMLS Mobile App (powered by Homespotter).


Did you know that you can access the auto-emails you create for your clients on the web in the NorthstarMLS app? Log into the NorthstarMLS app and select My Contacts. Scroll through your contacts to find the client whose auto email you’d like to view.

From there you’ll see options for their auto emails, any listings you’ve put in your cart associated with their name and any listings they’ve marked as favorites or possibilities. Select any of the options to see a map or list view of your clients listing details.

Tip of the Week – Auto Email Enhancements

A new feature in Auto Email Settings now lets you craft an initial Welcome Email message AND a new Recurring Email message for each Auto Email you have set up. The Welcome Email is sent with the first auto email, while subsequent auto emails will use the Recurring message.

When you set up a new Auto Email, you will see two new tabs for setting them up:


Instead of displaying an empty message box when creating a new auto email, Matrix now displays a predefined message text. (In prior versions of Matrix, this message box was blank, but the recipient would still receive the predefined message.) You can use that message or change it to one of your own.
