Each week the NorthstarMLS Rules & Regulations Department receives reports of potential issues with listings in the Matrix System. You’ve probably run across these at some point. Anything from inaccurate data – wrong square footage measurements or photo issues – such as a company sign in the photo, to name a couple examples.

What’s the Need for Rules in the MLS? 
In quarter one of 2016, the Rules & Regs Department addressed 5,134 listing violations (a record high for a first quarter) – 98% of them were waived or no fine was given. But the notices are an important part of ensuring the most accurate and up-to-date data for NorthstarMLS subscribers.

Rules Roundup – Are You Putting the Correct Status Updates on Your Listings?

Inaccurate listing statuses and untimely listing updates in the NorthstarMLS database continues to be one of the most common complaints to our Rules and Regs Department. In fact, in 2015 there were over 850 violations for incorrect statuses or contingencies. It has an adverse effect on your sellers, buyers and the entire NorthstarMLS community who rely heavily on this information to be reliable and accurate.

Below are a few examples of situations where you should change the status of a listing.

Temporarily Not Available For Showing (TNAS) status is appropriate anytime the property cannot be shown, including:

  • The seller has ACCEPTED an offer and doesn’t want to show during the inspection period.
  • The seller RECEIVED multiple offers and is not showing until they have worked through the offers.
  • The seller is going out of town for two weeks and doesn’t want to show the property during that time.

The status can remain active WITH a disclosed contingency in the contingency field when:

  • The seller has accepted an offer and is willing to show during the contingency.

Tip of the Week – Past the Projected Closed Date

Have you ever received a notice for a listing that is “Past the Projected Closed Date”? It is one of the most common violations that the NorthstarMLS rules and regulations department addresses. In 2015, there has already been over 9,900 violation notices that could have been avoided if agents or an office member had updated their pending listings.

This video will walk you through how to create a display and a saved search that you can easily monitor in Matrix and avoid violation notices for updating the Projected Close Date all together. This can be especially useful for office administrators who manage a number of office listings.

In quarter four of 2014, the NorthstarMLS Rules and Regulations Department addressed 5,864 listing violations – 97% of them were waived or no fine was given. Tip of the Week – Renewed Urgency for Data Accuracy

Starting today (Jan. 26), Fannie Mae is making its new Collateral Underwriter program available to lenders. This automated model flags potential errors in an appraisal and scores it for the overall risk of inaccuracy. Depending on the results, lenders may slow down the loan approval process or deny the loan altogether. This has significant potential consequences for all parties involved in the home buying process, especially your clients.

So What Can You Do? More than ever, the accuracy of the listing data you input into NorthstarMLS affects the success of the appraisal and loan processes. You’ll be helping yourself, your seller/buyer, appraisers and everyone else using the NorthstarMLS system by ensuring each listing is as accurate, complete and up-to-date as possible. Ensuring the most accurate and clean data for our customers is challenging and an ongoing process. If everyone using the MLS takes the responsibility to ensure their listings are as accurate as possible, everyone benefits. Remember: We’re all in this together!

Did you know there is a quick and easy way for you to help us make the NorthstarMLS database as accurate as possible? On every listing’s Property Full Display, there is a link labeled “Report a problem with this listing.”

If you see any problem with a listing, click this link to let the NorthstarMLS Help Desk know about it. We will follow-up with the List Agent/Office to ensure any needed corrections are made. Your report is anonymous and your information will not be shared outside our staff without your permission.

Rules Roundup: Measuring a 4-Level Split

Have you ever struggled measuring a split level house? Accurate measurements are critical to fellow agents, potential buyers, CMA’s, appraisals, etc. Incorrect or incomplete data remains one of the top violations reported to the NorthstarMLS Rules and Regs Department each year.

In fact, last quarter there were over 2,300 total notices on listings with incorrect or incomplete data – such as measurement of the finished square footage, foundation size or room dimensions. To better understand the challenges of accurately measuring a 4-level split property,  we went out on site to watch Zoe Liston — local appraiser, agent and MLS Instructor.
